Hybrid Meetings
(Zoom Meetings)

Connect To Your Members
Wherever They Are

Hybrid” has some people in the room and some people attending over the Internet.
A “Meeting” encourages discussions between everyone.

We Connect You
To Your Members
In The Room and OnLine.

Extend your meeting over the Internet. Otherwise, your members might miss your meeting because of distance, time, or choosing to avoid crowds!

Hybrid Meetings add another layer of work
before, during, and after the meeting.

We help you.

Hybrid Meetings are actually two different meetings that are held at the same time.
One meeting is old-style in-person and the other is the new virtual/online (Zoom).

You have to monitor the online audience while the in-room people are clamoring for your attention!

Virtual Meetings are easy, but…
Hybrid Meetings are not as easy as they look!

We help you.

You have to select the equipment, set it up, and then test it before the meeting even starts!

During the meeting, you have business to conduct, you have a face-to-face audience, and you have members that want to participate over the Internet. And, your technology still has to work perfectly!

We are part of your team.

We help you.

You have one meeting, but…
You have different formats.
You have twice the work.
You need twice the staff.
We bring technology experience
and extra hands to your event.

Hybrid Meetings
Are The New Normal

Meetings were held in person until March 2020. For the following two years, most meetings were held over the Internet.

Since the middle of 2022, many organizations tried to run hybrid meetings. They had varying degrees of success.

It’s time for another meeting! It might include members of your HOA, a profit/non-profit organization, directors, shareholders, or homeowners.

There is no going back to only in-person business meetings. While some people want to return to face-to-face meetings, other people now prefer the convenience and safety of Internet meetings.

What You Do:

You Run the Meeting.

It’s your audience and your meeting.

You invite the audience, set up the room, and open the doors. You declare the meeting “Open!

You Provide the Message

It is your agenda, after all. You know what you want to present.

You want – and need – to focus on the business at hand.

You talk to both audiences

You have to balance the attention of both audiences. This is true whether you are the President or the presenter.

(And we remind you about the online participants! We represent them in the room.)

What We Do:

We Manage the Technical Stuff!

Our job is to make the meeting available to everyone, both in the room and online! We focus on the technical mechanics of making the virtual part of your meeting successful.

Before the meeting, we…

…arrive at least an hour before your meeting to set up and test the equipment. (We do a lot of other things before the meeting, but arriving early is the most visible.)

During the meeting, we…

…make the technology invisible to you and to the audience. We open the online “doors” and then we advocate for online participants and manage their participation.

After the meeting, we…

…stay to pack up the equipment.
(BTW: We also edit videos, consult with organizations, and train admins for hybrid meetings.)

Hybrid Meetings are hard to do successfully!

Meeting Organizers Need Help

Meeting organizers don’t know what they don’t know, and they don’t discover shortcomings until after their meeting.

At the very least, they need help to sort out the conflicting answers and suggestions they find on the Internet.

Hybrid Meetings are understaffed

Often organizers look for someone that is a member of the organization and who can spell “zoom.” These drafted volunteers are now in charge of the technology. (They are expected to be a part of the meeting, too.)

We bring a turnkey solution!
